Privacy Policy

ITLOGS Pty Ltd ("ITLOGS", "we") handles personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Last updated November 2026.

What we collect

  • Enquiries and jobs: name, phone, email, address/suburb, business details, device details and the problem you describe; job notes, photos, time and parts; your sign-off signature.
  • Quotes and invoices: quote acceptance records (typed name, drawn signature, date/time and IP address), invoices, payments (card payments are processed by our payment provider — we never see or store full card numbers).
  • Customer portal: account email, password hash, sign-in times and IP addresses.
  • Website analytics — only if you click “Allow analytics”: pages viewed, referring site, campaign tags (UTM), device/browser type and an approximate location (city/suburb level, derived from your IP address, which we do not store with analytics). We honour “Do Not Track” and Global Privacy Control — if your browser sends them, no analytics are collected.
  • Technician location: when a technician checks in at your site they may choose to attach their own device location as proof of attendance. We do not track customers' devices.

Location and maps

We use approximate locations (suburb, postcode, region) to plan field visits and to understand demand by area for our marketing, e.g. how many enquiries come from Warwick versus Stanthorpe. Website visitor locations are always approximate (city level) and shown only in aggregate. Addresses you give us may be converted to map coordinates through a geocoding service; results are cached. Maps are drawn with OpenStreetMap tiles (or another tile server we configure), which receives the map area being viewed but not your personal details.

How we use it

To respond to your enquiry, deliver and invoice services, verify work with you, improve our service, keep records required by law (e.g. tax), and — only with your separate opt-in — send marketing. Every marketing email has an unsubscribe link (Spam Act 2003).

Sharing

We don't sell personal information. We share it only with service providers who help us operate (email delivery, SMS, payments, accounting software such as Xero/MYOB, hosting), or where required by law. Our systems are hosted in Australia where possible.

Retention

Website analytics are deleted after 13 months. Abandoned (unsubmitted) form data is deleted after 90 days. Job, quote and invoice records are kept for 7 years for tax purposes. You can ask us to delete other information at any time.

You can change your analytics choice at any time: . You may request access to or correction of your information, or make a complaint, by contacting us. If you're not satisfied with our response you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
